Smartsheet alternatives when a workflow needs an app

Decide whether to keep Smartsheet, add Dynamic View or WorkApps, or move one complex workflow to Airtable, AppSheet, Retool or KasiLabs.

Keep Smartsheet when the work is fundamentally a shared project, programme or process that benefits from sheets, formulas, reports, forms, timelines and dashboards. Add Dynamic View or WorkApps when the underlying sheet remains sound but people need a more controlled way to see and change it. Consider a separate app only when the workflow has become a role-specific operating system with exceptions, state transitions and release decisions that are difficult to express safely through shared sheets.

The right alternatives are Airtable for a relational data workspace, AppSheet for mobile and offline work around supported data, monday.com for visual work management, Retool for developer-owned internal tools, and KasiLabs for operator-led tailored workflow software with a private working version and controlled release.

The short answer

A workflow needs an app when its users should no longer experience the underlying sheet as the product. If each role needs different records, actions and required fields; if exceptions follow their own path; and if changing the process must be reviewed before it reaches live work, test an app layer. Do not rebuild a healthy Smartsheet system merely because an app looks more polished.

Start by proving where the sheet model fails.

Smartsheet may already have the missing layer

Smartsheet's current Pro plan costs $9 per member per month on annual billing or $12 monthly, supports one to ten members, unlimited contributors, unlimited sheets, forms and reports, and 250 automations per month. Those capabilities mean “we need an app” may actually mean “we need to stop sharing the raw sheet.” Test the native route first if the data model, formulas and reporting are already reliable.

Five signs the workflow has outgrown a sheet-shaped experience

One sign is not enough. Look for a combination.

People act on states, not rows

An operator thinks “this claim is awaiting evidence” or “this supplier needs a second review,” not “row 814 has a red value in column M.” Views and filters can translate some of that. A purpose-built app becomes useful when each state needs its own actions, validation and next step.

Permissions are about the record and action

Smartsheet item permissions are broad at the sheet level: a viewer can see sheet data, while an editor can change unlocked cells. Dynamic View can narrow the presented data. Smartsheet sharing permissions

An app is a stronger candidate when the rule reads: “a requester can edit this record only before submission; the assigned reviewer can approve but cannot change the amount; finance alone can see the payment reference.” Prove the exact rule instead of labelling it “role-based access.”

Exceptions need their own route

If a rejected request, duplicate, missing document or failed integration is handled through comments and manual column changes, the team may be operating a hidden application inside the sheet. Count how often an experienced person must interpret the exception and repair its state.

Change itself needs control

A sheet owner can change columns, formulas and automations directly. That is useful for collaboration. It becomes risky when a rule change immediately alters a business-critical process for everyone. A separate working version and approval step may be worth the additional structure.

Continuity depends on one builder's memory

Complex cross-sheet formulas, helper columns and automations can be maintainable when documented and jointly owned. If only one person can explain why they work, the immediate fix is a handover and inventory. A new platform does not remove dependence unless someone else can operate the result.

Compare the options using one process

Use a supplier-onboarding workflow with 30 internal users, two external submitter groups and four roles. A supplier submits details and documents. Operations verifies completeness. Risk reviews selected cases. Finance approves payment data. A rejection returns to the correct owner without exposing restricted fields.

Choose Airtable when the real problem is the data model

Airtable is useful when linked records, flexible views and interfaces provide a more natural data model than the current set of sheets. Choose it when the team is comfortable owning a configurable data workspace. Do not assume that a relational base is automatically a complete app. Test submission, access, approval, revision and exception handling from each user's perspective.

Choose AppSheet for field and mobile work

AppSheet should be on the shortlist when the process starts with Sheets, Excel or another supported source and the missing piece is mobile capture, photos, signatures, barcode input or offline operation. It can preserve familiar data while adding an application surface. The trade-off is that expressions, automations and security filters become an implementation discipline. Ask the expected owner to change a rule during the evaluation.

Choose monday.com when work is still board-shaped

monday.com is a sensible alternative when the team wants visual boards, timelines, workloads and automations rather than spreadsheet formulas. Its Work Management plans currently start with Basic at $9 per seat per month annually, Standard at $12 and Pro at $19, with plan-specific workflow and automation limits. monday.com pricing

Moving from one work-management system to another is valuable only when the new collaboration model fits better. If role-specific application behaviour is the problem, a more colourful board may preserve it.

Choose Retool when the organisation has a technical owner

Retool is a strong route to a purpose-built internal interface over databases and APIs. Developers and business engineers can control queries, components and custom logic, and pricing distinguishes builders from internal users. Retool pricing

Choose Retool if technical ownership is available and useful. If the Smartsheet system became fragile because one technical operator owns every formula and automation, replacing that person with one Retool builder does not resolve continuity.

Choose KasiLabs when the process—not the sheet—is the source of truth

Run a seven-record trial before migrating

Prepare normal, incomplete, duplicate, unauthorised, rejected, failed-connection and changed-after-approval records. Test them in the current Smartsheet setup first. If Dynamic View or WorkApps resolves the problem with less disruption, keep the system.

If not, give the same records to each alternative. Score:

  1. role and record boundaries;
  2. exception handling;
  3. ability of the intended owner to change a rule;
  4. separation of working and live behaviour;
  5. cost at actual members, automations and paid actions;
  6. handover to a second owner.

Move one workflow, not the whole Smartsheet estate. Keep an export, reconcile counts and run a controlled parallel period appropriate to the consequence of failure.
